Importing Employee Leave Requests

Prior to importing employee leave requests into the payrun you are able to make any changes necessary by editing the leave request or by making any necessary splits

  1. In Step 3 of the Payrun wizard click the Execute button next to Employees Leave Requests.
    The Leave Request Selection screen will open showing all leave requests with a status of Approved.
  2. Check the Select box for all of the leave requests that you want to import.
  3. To select multiples, hold the Ctrl key while clicking. To select a group, click on the first request, then hold the Shift key and click on the last. Use the group panel to organise a large number of requests. You can also customise the columns, by adding or removing headers and resizing the columns to suit your data. Click OK.
  4. A message may appear asking if you want to Reduce Ordinary Time for Employees That Have Leave Requests? Click Yes or No.
    If this message does not appear, it is because the option Auto balance leave trans to Emp Std Hrs' is in place. See also Automating 'Reduce Ordinary Time'.
  5. The leave requests will be imported and a confirmation message will appear telling you how many leave requests have been added to the payrun.

Leave requests that have been generated through HR3's

kiosk

will be missing the Financial Year and Week Number. If you wish to do so, you may add these details in the Employee file (via F3 Search).

 

The status of the Leave Request will be revert back to ‘Approved’ (and can then be re-processed) if:
a) the leave transaction is removed from the payrun, b) the employee is removed from the payrun or c) the payrun is aborted
